Children's Camp Cancellation Policy

Introduction.

Baxter Arts Centre is a not-for-profit organisation that relies on Children’s Camps to support year-round operations and administration. In 2023, Baxter had 300 children attend our camps. Due to demand and popularity, BAC requires a policy to allow us to efficiently manage programming and keep camp costs as low as possible. 

March Break Camp 2024.

Registration is Open!

Cancellation Policy.

Four Weeks Before March Break. 
Once you register, you will be able to cancel registration for March Break Camp until four weeks before camp begins and receive a refund. To cancel your registration, please send the order number, and camper name to programs@baxterartscentre.org. A refund will be issued at this point for 90% of the ticket value (ticketing and processing fees can not be refunded). Once your email is received, the space will be offered to our waitlist, so please only contact us if you are certain you will be cancelling.

Three Weeks Before March Break. 
Should we be supplied notice three weeks before camp begins, your registration fee will be turned into a full credit.

Two Weeks Before March Break.
Should you cancel any time between two weeks before camp up until camp begins, no refund or credit will be issued. 

Registration Transfer.
If you wish to transfer your registration to another family, a transfer fee of $60 is required to accommodate the administration required to complete the transfer. Your registration fee will be refunded minus this transfer fee (for example, for a $255 Camp, your refund would be $195). The family would then be required to sign up online. We can not accept e-transfers for summer camp.


Summer Camps 2024.

Camp Preview available HERE.

Baxter will release a camp Preview through our email and online in January. Please review dates, locations and age ranges for each camp. Certain camps have strict age ranges due to the physicality and dexterity involved in the camp. This age range is set not only for the child’s safety but also to ensure they have a great summer in a program that will challenge them but not be too difficult. Parents are responsible for signing their children up for appropriate camps. Double booking dates will still result in Cancellation and Transfer Fees.

Registration for camps opens in February!

Cancellation Policy.

From February - May 1st.
Once you register, you will be able to cancel registration for any Summer Camp until May 1st and receive a refund. To cancel your registration, please send the order number, and camper name to programs@baxterartscentre.org. A refund will be issued at this point for 90% of the ticket value (ticketing and processing fees can not be refunded). Once your email is received, the space will be offered to our waitlist, so please only contact us if you are certain you will be cancelling.

Programs run on a tight budget, with instructors, and assistants hired months in advance and materials purchased for each camper. To ensure these expenses are covered, we are unable to offer refunds after a certain time as many families have booked camps by late spring. 

From May 2nd - June 10th.
Should we be supplied notice from May 2nd - June 10th, your registration fee will be turned into a full credit.

 

From June 11th - Start Date.
Should you cancel any time between June 11th up until camp begins, no refund or credit will be issued. 

 

Registration Transfer.
If you wish to transfer your registration to another family, a transfer fee of $60 is required to accommodate the administration required to complete the transfer. Your registration fee will be refunded minus this transfer fee (for example, for a $250 Camp, your refund would be $190). The family would then be required to sign up online. We can not accept e-transfers for summer camp.

A note on missed camp days. 
Due to the number of campers attending camp in 2024, we can not offer partial refunds or prorated rates for campers attending only a few days of camp. 

Medical Emergencies. 
We will review these cancellations on a case-by-case basis. 
Please note that a doctor’s note may be required and cancellation fees will apply. 

Regarding Respect for Others & Harassment.
Baxter prides itself on creating a warm, welcoming and safe programming that encourages children to be creative. Any camper or camp assistant that exhibits behaviour that goes against the mandate of Baxter, for example by causing harm to a child; putting them in a position where they no longer feel safe, comfortable and welcomed; or which threatens the safety and wellbeing of any person taking part in the program, may be removed from the camp at the discretion of the Instructor and Program Manager. Bullying, inappropriate language, harsh play, damage to property or the location will not be tolerated.
